Inventory Setup Options

The options selected by the system administrator from the Inventory Setup Options window determine how the system operates when processing inventory information.

Create requirements when work order status reaches

Planning of an inventory item on a work order assumes that it will be issued later by Stores and will probably require replenishment. Eventually, a planned quantity becomes a required quantity, the latter number being one of the components used in the formula for determining an item’s reorder position.

In making a selection for this setup option you can influence how much time elapses before a planned quantity becomes a requirement. Select a work order status as the point in the work order process where you want requirements created. From the dropdown list, click on one of the available status codes.

Require material delivery info when WO status reaches

In preparation for executing a work order, planners provide information to Stores as to the time and place for delivering planned material. Select a work order status code as the point in the work order process where planners should be prompted to enter this information. From the dropdown list, select a work order status.

Automatically approve requisitions when WO status reaches

Applies to requisitions where charge to work order is the method of distributing costs. Select a work order status code as the point in the work order process where requisition approval occurs automatically. From the dropdown list, select a work order status.

Allow technicians to create requirements against inventory

For additional information on the rights of the Maint Tech security group, see Defining Window Access in the Security module.

Applies to users who have Maint Tech (limited) rights via Security to request material and charge a work order or account. If you select this option, materials requested by this user group can become requirements, thereby influencing the replenishment cycle. If the checkbox remains empty, the material request does not affect replenishment until an issue by Stores occurs.

At issue time compute the quantity to issue using this value

Use the dropdown arrow to select whether the quantity to issue in the Inventory Issues window is defaulted from the quantity reserved or the quantity requested.

Print serial numbers on picklists

If an Item Master is flagged as a serialized item, a list of serial numbers will be printed on the picklist for each serialized item if there is a check mark in this field.

Requisition lines cannot be entered and approved by the same user

This is a plant-wide setting that restricts a user from entering a requisition line and then approving the same line.

 

Using the Reorder UOM Tab

When the Inventory Setup Options window opens, the Reorder UOM information automatically displays. Click on one of the two buttons to indicate whether Unit of Issue or Unit of Purchase is used with reorder records generated by TabWare.

Using the Qty on Hand Tab

Click this tab to select an option for notifying the user when quantity on-hand for an inventory item falls below zero. When storeroom transactions are not posted in the correct sequence, it is possible for an on-hand balance to have a negative value. You can tell the system how to handle these situations by choosing one of the three available options. The first option provides an error message and the user is not allowed to post the transaction. The second option provides a warning, but the user can post the transaction and cause the negative balance to occur. The third option allows the system to accept the transaction without displaying an error message or warning.

Using the Over Receipts Tab

Click this tab to select an option for notifying the user when an over-receipt exceeds the tolerance percentage. This tolerance percentage is set initially in the Define Item Types setup window. The tolerance can be more closely defined for individual items using the Replenish tab of the Item Notebook and it can be even more specifically defined at the purchasing line item level by specifying an invoice tolerance on the Line Items tab of the PO Notebook. Receipts that exceed the set tolerance in effect (regardless of the level set) will not be allowed, will be allowed but will be given a warning, or will be allowed and not given a warning, depending on the selection made on this tab.

Note: Most users will not use the more specific controls offered at the Item Notebook and PO Notebook levels, but will use the tolerance specified in the Define Item Types setup window.

Using the Shipping Orders Tab

Use the options available on this tab to set up defaults that TabWare uses during the creation of shipping orders.

Shipping Order Printer

Click on the dropdown arrow to select a default printer for printing shipping orders. Approved shipping orders are usually printed to a printer in the warehouse from which the item will be shipped.

Default Shipping Order Job Function

When creating a shipping order, you may need to forward it to a job function in the plant that is responsible for approving shipping orders. Click on the dropdown arrow to select the default job function of the person responsible for shipping order approvals.
