Numbering Methods

The numbering scheme selected here applies when a user creates a requisition and chooses Charge to Account as the method for distributing costs. There are two other schemes used for numbering requisitions and both are automatically assigned.

When a user plans goods and services for a work order, TabWare automatically assigns the work order number as the requisition number - an eight-character base number plus an optional two-digit task and optional two-digit subtask.

When a user creates a requisition and chooses Add to Reorder as the type of request, TabWare automatically generates a number which consists of the prefix RE followed by today’s date in YYYYMMDD format. For example, a reorder requisition created on January 16, 2009, bears the number RE20090116.

From the Inventory Numbering Methods window you can choose options for numbering Charge to Account requisitions.

The overall length of the number, including optional use of a prefix, cannot exceed 12 characters. If you decide to use a prefix, make sure it differs from the prefix used with work orders. If you do not use a prefix for both requisitions and work orders, make sure the requisition number is longer than the work order number.

Use Prefix and Sequence Number

Prefix can be one to five characters long. Use of the hyphen character is not allowed. Define the sequential portion by entering a value for Number of Digits and Last Number. Prefix should be different from those used with the Work Order module.

Use Date and Sequence Number

The date portion of the number equals today’s date in YYMMDD format. For sequence, the Number of Digits must be greater than two. Last Number is a required field.

Use Sequence Number

If, for work order numbers, you are using the Sequence Number option, make sure the Number of Digits for requisition numbers exceeds eight. Otherwise there can be unpredictable results.

Numbering Method for Shipping Orders

When Allow Entry of Shipping Order Numbers is checked, users can manually enter a shipping order number when creating a shipping order.

The overall length of the Shipping Order number, including optional use of a prefix, cannot exceed 10 characters. There are four methods to choose from - three for automatic numbering and one for manual numbering.

Use Prefix and Sequence Number

Prefix can be one to five characters long. Use of the hyphen character is not allowed. Define the sequential portion by entering a value for Number of Digits. Last Number is an optional entry.

Select this check box if you want the user to manually assign a shipping order number.

Numbering Method for Stores Requests

A checkmark in the Allow Entry of Stores Request Number box allows users to manually enter a number for Stores Requests they create. Leave this box blank if you want TabWare to assign numbers.

The overall length of the Stores Request number, including optional use of a prefix, cannot exceed 10 characters. There are four methods to choose from - three for automatic numbering and one for manual numbering.
