Defining Window Access

You can give a particular group of users access to actions or selected windows within a module by selecting individual window actions or by copying settings from another group.

Controlling Window Access

Each window in TabWare has one or more actions associated with it. Generally, an action is associated with a command button on the window. You must grant access to a specific action to enable the user to perform that action. For example, the Equipment Notebook has five actions associated with it:

Through the Define Window Access window, you can control whether or not an option is visible to a user and what action the user can take with that option.

Select the checkbox under Has Access for each action that you want users in the group to be able to take. A checkbox without a mark indicates that the group does not have access.

Analytics Windows Access

Use Define Window Access to configure window action security for TabWare Analytics. Select Metrics in the Module list and then click the box in the Has Access column to grant or remove access to the Analytics windows. Access settings are shown below:

JobCop Windows Security Access

Use the JobCop module in Define Window Access to give a user group access rights to the JobCop module for a specific plant. The actions that a group can perform in JobCop are determined by the rights granted to them for each JobCop window. For instance, in order for a user to be able to use specific standard jobs that are shipped with TabWare, you must make that person a member of a group to which you then grant the rights to either Define the Job, Run the Job, or do both procedures. 

Individual users who have been granted JobCop Super User rights have full rights to all plants in the database and are not limited to group rights for any group to which they belong in JobCop.

Requisition Window Security Access

In the Requisitions module, the main Requisition window behaves differently depending on:

The three types of security level -- Full, Maintenance Technician (formerly called Limited), and Inquiry -- allow users in each of these security categories to do different things depending on the type of requisition. For creating/updating a Charge to Account requisition and a Work Order requisition, users can be given either Full or Maint Tech access. Only those with Full access can create or update Reorder requisitions.

Full Access

For users with Full access, all options are visible and active. Full access security users are also allowed to modify or delete requisition lines created by other users with either equal security level or by users with Maint Tech access. When someone with Full access enters an item on either a Work Order requisition or a Charge to Account requisition, Quantity Required on the item record is incremented. On a Work Order requisition, the system also updates the planned costs on the Work Order Planning tab.

Maintenance Technician

The Maintenance Technician security level is somewhat more restricted than the Full Access level.  Users in this level are not allowed to requisition items against Standard Requests or PM Master Plans. A user with Maint Tech security cannot create requisition items which have not been defined as Allow Maintenance Technician to Request Item in Inventory Setup-Define Item Types in the Setup module.

On the Work Order Requisition window, the Optional and the Abnormal Demand checkboxes are not visible to a Maintenance Technician, so a person with that security level cannot requisition an item as Optional or as Abnormal Demand.

When a requisition line is entered by a user with Maint Tech access, the system puts a check in the box labeled Created by Maint Tech. A maintenance technician cannot modify or delete lines created by users with Full access.

When a user with Maint Tech access enters an item on a Work Order requisition or Charge to Account requisition, the creation of requirements depends on whether or not your plant has elected to Allow Technicians to create requirements against inventory (this choice is offered in a checkbox on the Inventory Setup Options screen). If the option is not checked, entry of an item by a Maint Tech does not increment Quantity Required and no reservation is created. Also, if a user with Maint Tech access enters a Requested Quantity greater than the Quantity Available, TabWare issues a message warning that the quantity requested is greater than the quantity available.

If your site has elected to allow Maintenance Technicians to create inventory requirements, TabWare increments Quantity Required on the Item record and makes reservations as the work order status progresses. If a user with Maint Tech access enters a Requested Quantity greater than the Quantity Available, the user is given the option of either placing the item on backorder or setting the requested quantity equal to the available quantity.

Inquiry

Users given the Inquiry security level can view any type of requisition but this security level cannot create or update requisitions.

Security Window Access

Access to Security at the Security User level is granted through Window ActionsA user's membership in a group that has been given rights to any of the Security windows allows the user access to the Security module. use the Security module window Define Window Access to define the extent of the actions that a group can take in TabWare Security. Bear in mind that a group's rights must be defined separately for each plant in which it needs rights. A new group can be created by:

Worker Time Reporting

When entering worker time in the Worker Time Reporting window, Skill Code is a required entry. Since there are often numerous skill codes defined within a plant, you can filter the skill codes that TabWare offers as choices for an individual. If the Has Access checkmark is removed from the Has access to all resource codes option in the Work Order module Worker Time Reporting window, then any member of the group for which this is set views a filtered list. When a member of this group goes to the Worker Time Reporting window to report time for an individual resource, the user sees only the skill codes defined for that individual and not the entire list of skill codes defined for the entire plant. 

Copying Group Security

Customizing TabWare for each user group can be a time-consuming task for system administrators. To simplify this task, you can use the Copy From button on the Define Window Access window to copy accesses defined for one user group to another user group.

To Copy Window Access Settings:

  1. Click the Define Window Access button on the TabWare Security menu to open the Define Window Access window.

  2. Highlight the group in the Group list box to which you want to grant access.

  3. Click the Copy From button to open the Copy Group Security window.

  1. Highlight the group to copy access from in the Copy From dropdown list.

  2. Highlight the group to copy access to in the Copy To dropdown list.

  3. Click OK to return to the Define Window Access window with the accesses displayed.
