Linking Documents to a Valid Value

For certain validation codes, you can link documents to a valid value. The codes which allow this feature include: Area, Department, Item Class, ISO-9000, and Mechanical Integrity. The Documents button in the Valid Values window only becomes active when you have selected one of these five validation codes.

To Establish a Link:

From the Valid Values window, click on Area, Department, Item Class, ISO-9000, or Mechanical Integrity. The corresponding code values are displayed and the Documents button becomes active.

Select the code value to which the documents should be linked and click the Documents button.

A window opens displaying any documents already linked to the code value.

To link an additional document, click on the Links button. The Change Document References window appears.

Enter values for Document Type, Description, and Location fields.

6.

Click OK to add the document link to the database.

Documents linked to a valid value automatically appear on the Documents tab of notebooks when you choose that value. For example, documents linked to Area 200 automatically appear in the Equipment Notebook when you select 200 as the Area from the first tab of the notebook.

If your site has elected to automatically print linked documents with the Work Order Print, you will see the Print With Work Order checkbox on the Change Document Reference window for the validation codes of Area, Department, ISO-9000, and Mechanical Integrity. Click this checkbox if you want this document to automatically print when printing work orders carrying the selected area, department, ISO-9000, or mechanical integrity code. For example, you may link two documents to area code 100. The first document is a plant layout drawing and the second document is a chart of accounts. You want the drawing to be printed automatically together with any work order where the work order’s area code = 100. You do not want the chart of accounts to print. In this case, you would click the Print With Work Order checkbox next to the layout drawing; you would not click the checkbox for the chart of accounts.
